What it is

Avantix Costing is a web-based costing and quotation approval system for manufacturers. It builds the per-unit cost of a quoted product, prices each volume tier, sends the quotation to a manager for approval, and flags it when a raw material price changes. It is made by Avantix Innovation Sdn. Bhd. in Penang, Malaysia.

  1. Materials come from one price list

    Pick resin, chemicals or packaging from the central list with code, category and unit. Quantity × price, no retyping.

  2. Stale prices are pointed out

    If the master price has moved since you quoted, the row shows it. One click adopts the new price.

  3. Tiers under the floor turn red

    Each quantity band has its own margin and selling price. The minimum margin is set once by the admin.

  4. Numbered, dated, with terms

    Quote numbers follow QT-2026-001… automatically. Customer, contact, valid-until date and terms sit on every quote.

A yes or no, with the reason on record.

Managers approve from a queue with the numbers in front of them. When a quote changes later, it keeps its number and its history.

What is the Avantix Costing & Quotation Approval System?

It is a web-based system for manufacturers that builds the per-unit cost of a quoted product, sets volume-tier selling prices, sends quotations to a manager for approval and flags quotations when a raw material price changes. It is made by Avantix Innovation Sdn. Bhd., a software company in Penang, Malaysia.

Who is it for?

Manufacturers that quote made-to-order or OEM products whose cost depends on raw material prices, such as plastic moulding, packaging, compounding and fabrication. It fits teams where purchasing, costing, sales and management each handle part of the quotation.

What happens to open quotations when a raw material price changes?

Every submitted or pending quotation that uses the material is flagged as price changed, and any approval request based on the old cost is withdrawn. Sales then chooses to re-price (adopt the new cost) or lock (keep the quoted price), and the manager approves that decision. Drafts show the new price as a hint in the costing sheet. Approved quotations are not changed automatically; you create a revision if you want to re-quote.

Can I see the impact of a price change before I save it?

Yes. When purchasing enters a new price, a what-if preview lists each affected open quotation with its unit cost before and after, and its lowest margin at the current selling prices. Margins below the company minimum are shown in red.

How is the unit cost calculated?

The costing sheet adds seven cost groups per unit: raw materials, labour, machine time, overhead, packaging, freight and other or custom costs. Raw materials are picked from the central price list and multiplied by the quantity used per unit. Totals update as you type.

How does volume tier pricing work?

Each quotation can have several quantity tiers, for example 1 to 500 pieces and 501 to 2,000 pieces, each with its own margin and selling price. In the current version the selling price is the unit cost plus the margin percentage (unit cost × (1 + margin %)). Tiers below the company minimum margin, set by the administrator, are highlighted in red as a warning.

How do quotation revisions work?

An approved or rejected quotation can be revised while keeping the same quotation number, for example QT-2026-003 Rev A, Rev B and Rev C. A reason is required for every revision, and the revision history shows each version's cost and how much it changed.

Who approves quotations, and what do they see?

Users with the Manager/Approver role work from an approval queue of pending, approved and rejected requests. They see the full cost summary and pricing tiers, a warning when a quotation is below the minimum margin and, for a re-price decision, the proposed new cost and selling prices. Approving or rejecting requires remarks.

Can we give the quotation to the customer from the system?

Yes. Each quotation has a clean customer printout with your company name, tagline and address, the price per quantity tier, validity date and terms, which you can print or save as a PDF from the browser. Quotations that are not approved print with a DRAFT … NOT FOR CUSTOMER banner that shows their status.

Can it track whether we won or lost a quotation?

Yes. Sales marks an approved quotation as sent, logs follow-ups and records it as won or lost. A lost quotation needs a reason: price too high, lead time, competitor, project cancelled, no response or other. The Win / Loss report shows the closed win rate, quotations awaiting the customer, average days to a decision, results by customer and why you lose.

Does it remind us to follow up?

Yes, inside the system. Sending a quotation sets a follow-up date, and the dashboard's Needs your attention list shows overdue follow-ups, approved quotations not yet sent and quotations about to expire, most urgent first.

Can we start a new quotation from an old one?

Yes. Duplicate copies the customer, terms, costing rows and tier margins into a new draft with a new quotation number. Raw materials are re-priced at today's master prices, and a note reminds you to check the other copied amounts.

Which roles does it have?

Five: Super Admin, Purchasing Manager, Costing Engineer, Sales and Manager/Approver. People register themselves and can only sign in after a Super Admin approves the account. The Super Admin can change roles, deactivate users and set the minimum margin, default quotation validity and default terms.

Does it work on phones and tablets?

Yes. It runs in a web browser with layouts for desktop, tablet and mobile, so a manager can review and approve a quotation from a phone.
